The Museum of American Heritage (MOAH) seeks an Operations & Programs Administrator to provide high-level administration, operational management, and programmatic support.

This position is ideal for someone who is intelligent, resourceful, and independent. Someone who can take initiative and problem-solve will thrive in this role.

As administrator, you will exercise significant responsibility and autonomy at a small museum, where you will contribute across all levels of museum operations. You will manage museum operations, serve as the primary administrative support to the executive director, and help lead museum programming. To be successful, you must be a skilled communicator with strong organizational abilities and an understanding of nonprofit operations.

This is a permanent, non-exempt position of 30-40 hours per week. This position reports to the executive director.

Key responsibilities

Operations Management & Administrative Leadership

  • Serve as the primary administrative support to the executive director and leader of day-to-day operations

  • Act as the main administrator of the museum’s donor management system (Eleo)

  • Liaise between donors and museum leadership

  • Perform administrative responsibilities, including regular correspondence (email, phone, mail), database entry, file maintenance, inventory management, and supply upkeep

  • Oversee facility maintenance and coordinate with contractors, vendors, and service providers

  • Process and record museum financials, including invoices, account payments, checks, bank deposits, etc.

  • Organize scheduling for tours, events, and programs in collaboration with the executive director

  • Help maintain and update print materials, with attention to messaging and brand consistency

  • Attend meetings and follow up on action items

  • Execute other duties as assigned to support museum operations and the executive director’s priorities

Open-Hours Operations & Volunteer Management

  • Manage gallery operations and cover front desk during museum open hours Friday-Sunday (on rotation with other museum staff)

  • Welcome museum visitors and provide informative service

  • Train and schedule museum volunteers at the Williams House

Programming & Exhibits Support

  • Collaborate with the executive director on programming development and execution

  • With the executive director, manage museum programming and serve as event staff, sometimes during evenings and weekends

  • Conduct research and outreach to support programs, events, institutional initiatives, and (as needed) exhibits

  • Promote museum programming through online platforms and manage email campaigns

  • Coordinate with external partner organizations on community programming initiatives

  • Support exhibit development and installation in collaboration with the executive director and collection & exhibits coordinator

  • Lead pre-scheduled tours of the museum property and exhibits

Qualifications

Required

  • Exceptional interpersonal skills with the ability to work effectively across all levels of an organization, from volunteers to board members to donors

  • Strong organizational abilities and attention to detail

  • Initiative and independence—self-directed with excellent problem-solving skills and the ability to manage multiple priorities

  • Flexibility and resourcefulness in a dynamic nonprofit environment

  • Strong writing, research, and communication skills, with the ability to produce clear, engaging content

  • Historical thinking and analytical abilities—capable of understanding context, nuance, significance, connection, and narrative potential

  • Computer proficiency (Microsoft Office, Google Suite, cloud-based applications, etc.)

  • BA degree, preferably in history, art history, archaeology, or a related field

Preferred

  • Experience working in museums, cultural institutions, or non-profit organizations

  • Good eye for aesthetics and design

  • Graphic design skills

  • Familiarity with database systems

  • Experience leading or coordinating volunteers
